How to respond to an unfair review
If a review feels unfair, pause before replying. Separate what you can verify from what you suspect. A calm response can clarify a fact without accusing the reviewer or publishing private information.
First, check for a misunderstanding
The reviewer may have used a different name, visited with someone else or confused your business with another. Search the information you are legitimately able to check, but do not assume that an unfamiliar name proves a review is fake.
When you cannot identify the visit
Customer review
Nobody helped us and we were charged for something we never received.
Possible reply
We’re concerned to read this and would like to understand what happened. We haven’t been able to identify the visit from the details here. Please contact us through our website so we can look into it with you.
Use “we haven’t been able to identify the visit” only after checking. Do not substitute an accusation that the reviewer is lying.
When expectations were different
You can clarify a relevant policy or service detail without scolding the customer. For example, if appointments are required and that information is accurate, explain it briefly while acknowledging their frustration.
Customer review
I turned up and they wouldn’t see me. A wasted journey.
Possible reply
I’m sorry you had a wasted journey. We work by appointment, so we aren’t always able to help with walk-in visits. Please contact us before travelling and we can check availability.
This only fits a business that genuinely operates by appointment. Do not use a policy as a substitute for checking whether the team handled the situation well.
Keep reporting separate from responding
If you think a review violates the platform’s rules, read those rules and use its reporting process. Disagreement or a low rating alone does not establish a policy violation. You can write a measured public reply while the platform considers a report.
What to leave out
- Threats, insults or speculation about the reviewer’s motives.
- Customer records, private messages or identifying details offered as evidence.
- Claims that the review is fake when you cannot establish that.
- Repeated follow-up comments that turn the exchange into an argument.
If a review raises a serious allegation, route it to the person responsible for handling that issue before publishing a quick reply. A generator can help with wording; it cannot establish what happened.
