How to respond to a positive review
Thank the customer and refer to something they actually appreciated. Most positive reviews need only a short, warm reply. You do not need to turn a thank-you into a sales message.
Make the thank-you specific
If the customer mentions helpful staff, careful work or a favourite dish, reflect that detail in your reply. It signals that a person read the review. Avoid repeating the entire review or adding a list of services the customer did not ask about.
Example: praise for the team
Customer review
Really helpful staff. They explained the options clearly and didn’t rush me.
Possible reply
Thank you for sharing this. It’s lovely to hear that you had time to consider the options and felt well looked after by the team.
The reply stays with the customer’s experience instead of adding a promotion.
Example: a returning customer
Customer review
Our third visit and just as good as the first. Such a friendly welcome.
Possible reply
Thank you for coming back and for leaving such a kind review. We’re glad the welcome was just as warm on your third visit.
Mention a repeat visit only when the reviewer has said it.
What if the review is only a star rating?
Keep it simple: “Thank you for the five-star rating. We appreciate you taking the time.” Do not invent what the customer bought, who served them or why they enjoyed the visit.
Avoid making every reply identical
You can use a consistent voice without copying the same paragraph under every review. Let the detail in each review guide the response. For a very short comment, a very short reply may be enough.
- Use the reviewer’s public name only when it feels natural.
- Do not add private information about their visit or purchase.
- Keep offers, referral requests and promotional links out of a straightforward thank-you.
- Do not promise to pass on praise unless you intend to do it.
When praise includes a complaint
“Lovely staff, but we waited too long” is mixed feedback. Thank them for the positive point and acknowledge the wait. Ignoring the criticism can make the reply sound automated. A balanced response might say: “Thank you for your kind words about the team. I’m sorry the wait let the visit down.” Add a next step only if it is useful and accurate.
